How it works

From the conversation to a signed note

Quillentra listens so you can look at your patient. It drafts the note in your template, and you stay in charge of every word that goes into the record.

01Capture

Record the visit however it happens

Choose a template, confirm the patient's consent and select Record visit. Quillentra runs in your browser, so there's nothing to install.

  • In person with your device's microphone, with pause and resume.
  • Telehealth by sharing your video call's browser tab: the patient's voice comes from the tab and yours from the microphone. Only audio is recorded. Works in Chrome or Edge on a computer.
  • Dictation when you'd rather speak your findings after the visit. No consent step, because you're recording only yourself.
  • Upload an existing recording: MP3, M4A, WAV, WebM, OGG or FLAC, up to 500 MB.

Audio is uploaded in short, encrypted segments while you record and is never saved on your device. If the connection drops, Quillentra keeps the audio and retries. Visits can be held in any of 19 languages, with the note written in the same language or another.

02Draft

A draft in your template, not a transcript

When you stop, Quillentra transcribes the conversation and writes each section of your template from what was said, leaving out the small talk.

Illustrative example: a synthetic conversation, not real patient data.

  • Who said what

The transcript labels each speaker, so you can check any detail against the conversation.

  • Your structure

Each section follows its instructions, and says so, or stays empty, when a topic didn't come up.

  • Before the visit, too

Pre-chart a note from your context before the patient arrives. Nothing is recorded.

03Refine

Edit by typing, or just ask

Change the draft directly, or tell the assistant what you want in plain language. Its suggestions appear as tracked changes, section by section.

  • Additions show in green and deletions in red. Accept or reject each suggestion.
  • Every AI draft, AI edit and manual save is kept in version history, so you can restore any version.
  • Ask about the visit, such as what follow-up was discussed, without changing the note.
  • When you sign a note you edited, Quillentra learns your style for next time. You can review or turn that off.

Illustrative example: not real patient data.

From the same visit

Letters and documents, without starting over

One visit can produce several documents, each in its own tab. Select New document and Quillentra writes it from the transcript, your context and the note you already have.

  • Referral and consult letters, prior authorizations and letters of medical necessity.
  • Patient instructions and after-visit summaries in plain language, plus work and school notes.
  • Each document has its own editor, assistant, version history and signature.
  • Signature lines use the name and credentials from your profile.

04Finish

Sign it, then put it in the chart

When the note is right, sign it. Signed documents are locked until you choose Amend, and every signature is recorded.

  • Copy the whole note with its formatting, or copy a single section for EHRs with separate fields.
  • Export a PDF or Word file showing the date of service, the clinician and the signature status. File names never include the patient's name.
  • Every copy and export is recorded in your practice's audit log.
  • Quillentra doesn't connect to EHRs, so nothing reaches the chart until you paste or attach it.

Templates

Notes that read the way you chart

Start from 40 built-in templates across 22 specialties: clinical notes, letters and patient documents. Or build your own.

  • Duplicate and customize

Copy any built-in template, then change its sections, instructions and style.

  • Import from a document

Paste an example note or upload a PDF, Word or text file. Patient details are stripped from the draft.

  • Set the style

Concise, standard or detailed; clinical or patient-friendly; third person or first person.

  • Share with your practice

Owners and admins can share templates so everyone documents the same way.

Ask Quillentra

A clinical assistant beside your notes

Ask clinical questions, draft letters and prepare patient education, in a conversation that's private to you.

  • Type / for 12 ready-made commands, such as /evidence, /ddx, /dosing and /priorauth, or save your own.
  • Attach a visit to ask about it or draft from it, such as a referral letter or an I-PASS handoff.
  • When evidence search is on, it uses trusted clinical sources and lists them. It's never used while a visit is attached.
  • AI can make mistakes. Verify clinical information before you act on it.

You stay in control

Built around your clinical judgment

Quillentra drafts. You decide what goes into the record.

  • Consent before you record a patient

Recording a patient starts only after you confirm their consent, and that confirmation is logged with a timestamp.

  • Nothing is lost

Every draft, edit and restore is a version you can go back to, and signed notes can only change through an amendment.

  • Your words in the chart

Nothing reaches your EHR on its own. You review, sign and then copy or export what you're happy with.
