One plan for your whole practice

Yes. Free costs $0 for the whole practice and includes 10 hours of recording per clinician each month, every capture mode (in-person, telehealth, dictation and upload), all of the built-in templates and a signed BAA. No credit card is needed. While paid plans are launching, every practice has full access with no recording limits.

The practice. Your practice has one plan that covers everyone in it, so there's no individual billing to sort out. When paid plans launch, the practice's owners and admins will choose its plan; until then there is nothing to buy.

Paid plans will be priced per seat, and everyone in your practice is a seat: owners, admins and members each count as one, including someone who only manages the account, such as an office manager. Roles decide what someone can manage, not what you pay. A practice always has at least one seat.

Every plan, Free included, lets you invite as many colleagues as you need, as members or admins. Free has no seats to pay for.

No. Paid plans aren't on sale yet, so there's nothing to enter: create your practice and start recording.

Recording hours measure the length of the audio Quillentra transcribes: in-person and telehealth recordings, dictations and uploaded audio files. Paused time isn't recorded. Reviewing, editing and signing notes, creating letters and other documents from a visit you've already recorded, pre-charting and Ask Quillentra don't use any.

Each clinician has their own allowance, totalled per calendar month (UTC). On Free, a clinician's hours are shared across every practice they belong to; on a paid plan, the practice's plan gives each of its clinicians their own allowance there. You can see this month's recorded time in Settings → Organization → Usage; members see their own, and owners and admins see everyone in the practice.

Nothing yet: recording limits aren't applied while paid plans are launching. Once they are, the monthly hours on Free and Pro will apply per clinician. A recording that's already in progress can always be finished, and new recordings wait for the next month or an upgrade. Unlimited and Practice have no recording-hour limit.

Unlimited and Practice have no monthly cap on recording hours, under our fair-use policy. Unlimited recording is for each clinician's own patient visits: every account belongs to one person, and an account records one visit at a time.

While paid plans are launching there are no recording limits at all. The details are in our Terms of Service.

No. Each account is for one person, so everyone who uses Quillentra needs their own account in the practice. An account can record one visit at a time: if you start a recording on another device or browser tab while one is still running, Quillentra asks you to finish the first one.

No. Recording hours are the only plan limit we apply, and only once paid plans launch. The extras listed for Pro and Practice, such as audio retention, the shared workspace, practice-wide templates and audit-log export, currently work on every plan. Inviting your team, with owner, admin and member roles, is part of every plan. Practice brings the extras together with unlimited recording hours for group practices.

There's nothing to change or cancel yet: paid plans aren't on sale and no one is charged. Any clinician can export their data or delete their account at any time from Settings → Data & privacy.

When paid plans launch, payments will be handled by Stripe on Stripe-hosted pages. Stripe receives only what it needs to bill the practice: the practice name, the billing contact's email, your practice's Quillentra account ID, the plan and the number of seats. It never receives patient information, visits or notes, and card numbers never reach Quillentra. See the subprocessor list.

Yes, including Free. You accept Quillentra's HIPAA Business Associate Agreement on behalf of your practice when you set it up, together with the Terms of Service, and your acceptance is recorded with a timestamp. You can read the full BAA before you sign up.
