Delete or restore a practice

Owners and admins can delete a practice. Owners can restore it for 30 days; after that it’s permanently deleted.

On this page· 4 sections
  1. Before you delete
  2. Delete the practice
  3. What happens
  4. Restore the practice

Deleting a practice removes it for everyone: its visits, documents, transcripts, patients, templates and recordings. Owners can undo it for 30 days. To leave a practice without deleting it, select Leave practice in Settings → Data & privacy (its only owner makes someone else an owner first); to close your own account, see Delete your account.

Before you delete

  • Make sure signed documents are in your EHR or other record system.
  • Ask members to export anything they need from Settings → Data & privacy (see Export your data).
  • Visits that are recording or being processed when you delete are stopped and can’t be finished.

Delete the practice

  1. Go to Settings → Organization → General. Only owners and admins see Delete practice, at the bottom.
  2. Check the summary: how many people lose access, and how many visits, signed documents, patients and templates will be deleted.
  3. Select Delete practice, type the practice’s name exactly as shown, and enter your password if your account has one. Without a password, this works within 10 minutes of signing in: select Sign out and sign in again if it’s been longer.
  4. Select Delete practice again.

What happens

  • Everyone in the practice loses access straight away, and pending invitations are canceled.
  • A paid plan is canceled immediately, with no further charges.
  • Everyone in the practice gets an email saying who deleted it and when it will be permanently deleted. The email contains no patient information.
  • Anyone who signs in sees that the practice is scheduled for deletion. People in another practice continue there; everyone else can create a new practice.
  • After 30 days the practice and everything in it are permanently deleted. Audit records, which contain no clinical content, are kept for six years, as HIPAA requires.

Restore the practice

Until it’s permanently deleted, any owner can bring the practice back exactly as it was: sign in and select Restore practice on the page that says it’s scheduled for deletion. Admins and members see which owners to contact instead.

  • Everyone gets their access back.
  • The practice returns on the Free plan. Choose a plan again in Settings → Organization → Billing to resubscribe.
  • Pending invitations stay canceled, so send them again.
