Before you record a patient, Quillentra asks you to confirm that they agreed to being recorded for AI-assisted documentation.

When it’s required

  • Required for In person recording, Telehealth and Upload.
  • Not required for Dictate or Pre-chart without recording, because no patient is recorded.

Suggested wording

“I use an AI scribe to help with note-taking so I can focus on you during our visit. The recording is encrypted and deleted after your note is written. Is that okay with you?”

That’s the wording when audio is deleted once the note is written. The suggested wording in Quillentra follows your practice’s audio retention setting (Settings → Organization → General), so it always matches how long audio is kept.

What is recorded

When you tick the box and start, Quillentra records your confirmation with a timestamp in the audit log, and the visit shows Consent recorded.

If the patient says no

Don’t record. You can still dictate your findings after the visit, or pre-chart and type the note yourself.

Consent rules differ between states, provinces and countries, and your practice decides which consent process to follow. Quillentra records your confirmation. It doesn’t replace your practice’s consent policy.
